How to Build a CRM Website

Step 1 — Move Client to Build Stage

  1. Open the Website Onboarding Pipeline

  2. Locate the client card under “Needs to Be Built”

  3. Move the card to “Building In Progress”

We’re excited to let you know that we’ve officially started building your new website.

Our team is now bringing your content and vision to life. Once the first draft is ready, we’ll send you a preview link so you can review the site and share your feedback.

The website build process typically takes around 2 weeks, provided feedback and edit requests are submitted in a timely manner. Your package includes two rounds of edits, and we’ll guide you through how to submit changes when your draft is ready.

To help keep the process organized, efficient, and affordable, we kindly ask that all website-related communication and feedback remain within this email thread whenever possible.

We’ll be in touch soon with your initial website preview.

Step 2 — Create New Subaccount in CRM

  1. Open the CRM (Agency View)

  2. Navigate to Accounts → Create New Subaccount

  3. Enter client submission details:

  • Business Name

  • Contact Information

  • Address

If the client does not have a storefront, use:

  1. Save and confirm subaccount creation


Step 3 — Switch Into Client Subaccount

  1. Switch into the newly created subaccount

  2. Navigate to Websites → Templates


Step 4 — Choose Website Template

  • Select a template relevant to the client’s industry

  • Choose a design that aligns with their branding and colors

  • Open the template to begin customization


Step 5 — Build & Customize Website

Use all client-provided assets and information.

Create the number of pages included in their package

Typical pages include:

  • Home

  • About

  • Services

  • Contact

  • Booking

Add Required Functionality

  • Contact Form — for general inquiries

  • Booking Calendar — if appointments are required

Quality Checks During Build

  • All links are functioning

  • Website is mobile responsive

  • Branding is consistent

SEO Optimization

  • Add SEO titles

  • Add meta descriptions

  • Add keywords for each page

  • Rename image files for SEO if time allows


Step 6 — Client Review Process

Send Email #1 — First Round of Edits Request

Subject: Please Submit Your First Round of Website Edits

Hi {{contact.first_name}},

I hope you’re doing well.

Your website draft is ready for review. As part of your website package, you have two rounds of edits included. This means you’ll have two opportunities to share detailed feedback so we can make any necessary adjustments before finalizing your site.

When sending your edits, please be as specific as possible. For example:

  • Change headline on Home Page from “Welcome to Our Business” to “Experience the Best in Maryland Service.”

  • Replace the main photo on the About Page with the image attached.

  • Update the phone number in the footer to (410) 555-1234.

This helps our team complete your changes accurately and efficiently.

Please reply to this email with your first round of edits at your earliest convenience, and we’ll get started right away.

You now have one more round of edits remaining, so please take another careful look through your website and let us know if there are any final changes you’d like to make. After this final round, we’ll provide you with a login to the site builder so you can make future updates on your own if you’d like. Please note that once editing access is provided, our team will not be responsible for fixing any errors or issues that result from independent changes.

Apply Final Round of Edits

Complete final requested revisions.

Revision Policy

After two rounds of edits:
Additional revisions are billed at $125/hour.


Step 7 — Domain Setup

After final approval:

  • Purchase a new domain or connect the client’s existing domain

  • Link the domain to the completed website

  • Test that the website loads and functions properly


Step 8 — Create Client Login Access

  1. Open the client subaccount

  2. Create a User Account

Provide access ONLY to:

  • Calendars

  • Contacts

  • Conversations

  • Forms

  • Media

Do not provide administrative or billing access.


Final Quality Check

Before marking the project complete, confirm:

  • All pages are filled out and proofread

  • Branding matches logo and brand colors

  • Domain is connected and functional

  • Client login access is active

  • Two edit rounds are completed or billed

  • Move pipeline card to “Completed”
